What Escrow and Title Companies Actually Look for From a Notary

Most clients experience a closing from the signer’s side of the table, but there’s a whole set of expectations title and escrow companies have for the notary they’ve hired — expectations that directly affect how smoothly your closing goes, even if you never see that side of it.

What title companies are actually checking for

  • Accuracy above all else — every signature, initial, and date needs to match the document’s requirements exactly; a single missed initial can hold up funding on an entire transaction
  • Correct identification of every signer, verified and documented properly
  • Prompt, secure return of the signed package — closings run on tight timelines, and a delayed document return can push back funding by a day or more
  • Professionalism at the table — title companies are trusting the notary to represent the transaction well in a moment that’s often stressful for the signer
  • Correct handling of any last-minute document changes, which do happen and need to be managed without derailing the signing

Why this matters to you as the signer

A notary who’s meticulous about the title company’s checklist is, by extension, meticulous about your closing going smoothly. The two interests point the same direction: getting an accurate, complete, properly executed document package back to the title company as quickly as possible, so your transaction funds on schedule.

A good loan signing agent is invisible when everything goes right — you sign, we verify, the package goes back, and your closing happens on time. You only notice the role when something goes wrong.

What I do differently

I review every document package before the appointment, not during it, so I’m not learning the document’s structure at the same time you are. I also do a full review after signing, before I leave the table, specifically to catch a missed initial or signature while you’re still there to fix it — rather than after the package is already back with the title company.
